Signed up for AI and nobody's using it

Breakdown

You're paying for AI for your whole team every month, and nobody's using it.

They have the logins. They tried it in week one, used it a bit in week two, and by week three everyone was back to the old way of doing things.

I've watched this happen dozens of times, and it's almost never laziness. People get busy and the old habit is faster for today's job. Fear plays a part too, but most of the time the real blocker is that nobody trained them properly or gave them someone to ask.

Big companies handle this with project boards and status reports. You need ten minutes a week.

Pick a fixed time and sit down with your team. Ask three questions.

What's working?

What's stuck?

What are we doing about it this week?

The answers are usually small. Someone doesn't know which tool to open when they're writing a quote. Someone tried it on a client email once, got a stiff answer back and gave up. Each of those takes minutes to sort, and every one you fix makes next week's ten minutes easier.

The meeting does a second job as well. It tells your team AI isn't going away, and it gives them a safe place to say they're stuck.

Keep it friendly. The moment it feels like you're checking up on people, they stop telling you what's stuck and the ten minutes stops working.

Put the first ten minutes in the calendar this week, before the next payment goes out.
